WEBSITE MANAGEMENT IN STOCKSBRIDGE FAQ

Websites are complicated, especially in Stocksbridge. This FAQ section is here to help answer some of the website management questions you may have. At any point in your website management journey, whether you’re right at the start or have already launched, if there’s anything we can help with, please contact us using the form at the foot of this page.

Website management is about understanding how each component of a website works, what its purpose is and why it is being implemented, as well as being able to recover quickly from failures. Website management helps keep your website well oiled and serviced, much like you’d take your car in for an MOT. Effective website management involves a comprehensive approach to ensure that a website is not only functional and secure but also optimized for performance, user experience and achieving the business objectives being set. Here are some key elements of effective website management:

  • Plan for failures, expect failures and be able to recover quickly when they happen.
  • Set a clear objective and strategy for the website.
  • Only implement the features necessary to achieve your goals.
  • Keep the theme, plugins and content updated.
  • Implement security measures to ensure your website is protected against malicious attackers.
  • Ensure the website is fully optimized.
  • Observe, understand and act on analytics about your website.
  • Monitor your website for uptime, page load speeds (latency), conversion rates and user behaviours and patterns.
  • Ensure a good user experience throughout your website.
  • Run daily backups of your website and store those backups away from your website servers.
  • Ensure that the website complies with relevant laws and regulations, such as GDPR and copyright laws.

Website management encompasses a wide range of tasks and responsibilities aimed at maintaining, optimizing, and improving the overall performance, security, and usability of a website. In addition to what is provided above, here are some more considerations:

  • Technical maintenance of the website to ensure the right hosting platform and provider is chosen.
  • Content and content structure management ensures the site is easy to navigate and contains the right information.
  • Security management to ensure that only those permitted to login to your website can.
  • Performing Search Engine Optimizations to improve the sites visibility in search engines.
  • Providing responsive and available customer support to assist with any issues or feature requests.
  • Complete and full disaster recovery in the event of even the most catastrophic failures.

Website management is constant and ongoing task. Websites that are left without constant observation become outdated, insecure and vulnerable to attacks. If a website is not well maintained, it can lead to various negative consequences that can impact its performance, security, user experience and overall effectiveness. Good website management involves keeping on top of the general house-keeping tasks. Here are some potential consequences of neglecting website maintenance:

  • It becomes increasingly difficult to recover from failure.
  • The website is exposed to security vulnerabilities if it isn’t kept up to date.
  • The performance of the website is decreased over time.
  • Increased risk of website downtime (The time the site is offline)
  • A drop in search engine rankings
  • Legal and compliance risks
  • Reputation damage

To maintain a website effectively, employ a proactive and simple website management strategy that includes maintaining, optimizing, and improving the overall performance, security, and effectiveness of your website. Website management can be seen as a chore, but is as essential as taking your car in for an MOT. Here are some key components of a successful website management strategy:

  • Choose a unique Domain Name that suits your business. You can always have more than 1.
  • Setup hosting with a provider that is trusted and has good customer support.
  • Build your website with strong foundations for success. This will make reoptimizations much easier.
  • Choose the right plugins and tools for the job. There are a plethora to choose from and it’s very easy to pick too many.
  • Maintain the website on an on-going basis

Ensuring the security of your website is crucial to protect it from potential threats and vulnerabilities, such as theft of data and unauthorized access. Companies will release updates for their software around a month before the vulnerabilities are known/released to the public. As soon as a vulnerability is known, if your website it not updated, it becomes open to that attack vector. Here are some essential steps to staying vigilant and significantly enhancing the security of your website, protecting it from potential security risks:

  • Keeping the website theme and plugins updated regularly ensures the latest discovered vulnerabilities are patched up.
  • Enable SSL across the entire site. SSL encrypts website traffic between the servers and the end user device so it cannot be spied upon. Previously only forms or payment pages needed to be protected via SSL, but now it is standard practice to protect the whole site. Some hosting providers offer an SSL certificate for free in the first year or for longer.
  • Perform regular malware scanning to ensure that no malicious code or plugins are running on your servers or website.
  • Install and configure a website security firewall to ensure that only allowed traffic can communicate with your website. This can also prevent Denial of Service (DDoS) attacks where attackers will flood your website with high quantity of unwanted traffic to crash your servers.
  • Monitor your websites activity for suspicious login attempts and file changes

Ensuring the reliability of a website involves implementing best practices in various areas, including security, performance, backups, updates, and monitoring to ensure the websites uptime is maximized. If your website is down for any reason, your customers cannot access it. This could lead to lost sales and loss of reputation. Here are some steps you can take to enhance the reliability of your website:

  • Stay Informed and Educated: To stay informed about security updates, best practices and emerging threats, follow reputable blogs, forums and security resources. Educate yourself and your team on how to mitigate risks and proactively address security concerns.
  • Regularly Test Website Functionality: Conducting regular testing of your website’s functionality, usability and compatibility across different devices, browsers, and screen sizes identifies issues and bugs. Address these promptly to ensure a smooth user experience.
  • Implement a Disaster Recovery Plan: Developing a disaster recovery plan is the runbook to use in the event of a website outage, security breach or other emergencies. This may include contacting your hosting provider, restoring backups and communicating with stakeholders. Plan and expect failure and don’t be surprised when it happens – it will happen. Those who effectively plan and expect failures can recover much quicker and with much less stress.
  • Perform Regular Backups: Set up automated backups of your website, including files and databases, to ensure that you can quickly restore your website in case of data loss, hacking or other emergencies. Store backups securely offsite or in the cloud.
  • Monitor Website Health and Uptime: Use website monitoring tools to track uptime, downtime, and performance metrics (e.g. page load times and server response times). Set up alerts to notify you of any issues or anomalies so you can address them promptly.

In website architecture, a front end is the visible and interactive part of the screen you see as a desktop or mobile website viewer, whereas the back end is all the invisible mechanics. Using a car as an example, the front end is what you see when you sit in the drivers seat, the controls, dials and steering wheel. The backend is the engine, axles and drive chains. The front end of a website is the general experience your audience recieve when visiting your website. It involves the content they read/view, the buttons/links they click, the forms they fill out and the products they purchase. The backend is everything they don’t see. This could be the CMS administration console, where you add a new user or create a new blog post or on the more technical side, the plugin and theme configuration of the website, the hosting platform and database management.

AContent Management System (CMS), is a software application that allows users to create, manage and modify content on a website without needing to have specialized technical or coding knowledge. CMS platforms provide a user-friendly interface for adding, editing, and organizing content, as well as managing website design and functionality. One of the most popular CMS’s is WordPress and many people enjoy using a CMS because it removes the complexity of managing a websites content.

When choosing a CMS, you need to consider the features they provide and the customization possibilities in relation to the product/service you want to provide. WordPress CMS is the most widely used CMS on the market to date which is free to use if you host it yourself. Using a CMS to design, implement and manage a website ensures you get a fully hosted and fully managed website at low cost with relative ease. WordPress used to be a simple blogging site, but in recent years can now be used to build almost any website through the use of plug-ins and updated page builders. This makes it a very tailored solution where you can install only the plugins required to make your site operate. This gives you a lot of control.

Web hosting is the architecture behind your website, for example, the servers it runs on. You can think of it as a back end to your websites back end. Web hosting could also be thought of as the engine, the processing units or where the files are stored. Ensuring you have the right hosting package is critical to the success of your website. Its also imperative that the geolocation of your hosting is close to your end users, for example, if most of your visitors are based in the UK, it makes sense to have a hosting provider with servers based in the UK so website load times are faster. The longer the distance that data has to travel, the slower the page load times will be. If you have website visitors from around the world, implementation of a CDN synchronizes multiple copies of your website to several different regions around the globe to ensure. Visitors to your UK website from the India region should load from servers nearer to them than in the UK.

To choose the right hosting package you need to take into consideration the quantity of visitors you expect to visit the site concurrently, the amount of media (images/videos) that you’ll be presenting, the computational processes that will be performed and the location of your visitors in the world (where will people be visiting your site from). If your site does not end up using the provisioned resources, the package can be slimmed down. Conversely, if the performance is not where it needs to be, it can be lifted. Monitoring your websites front and backend performance metrics allows you and evaluate if changes need to be made.

Hosting is a critical service for a website. Without robust and reliable hosting, the website is prone to going offline. If the hosting provider has issues, their architecture is not resilient and the support team is inaccessible, you’ll be left without a website. If you maintain daily offsite backups of your website and database, it makes it easier to move hosting providers if necessary. Therefore, if things go catastrophically wrong (and they do), be ready to move to a new provider if needed. To choose a hosting provider, you should look at the following:

  • Where is the hosting provider based: Select a hosting provider that can host your website as close to your main service location. If you have geographically dispersed visitors and customers, the use of a CDN ensures copies of your website are available closer to them.
  • What services do the provider offer: Each hosting provider has a different offer. For example, if you want to install the WordPress CMS, does the provider provide an easy method for WordPress installation? Always check the offer and ensure the provider meets your needs.
  • How easy is it to add new, remove old and manage existing services from their console: When selecting a hosting provider, using and navigating their admin console is a skill in itself. Each provider has a different console and you’re likely going to be spending some time there.
  • How accessible is the support team: When things go wrong, you need to be able to get someone on the phone quickly.
  • How do they respond when things go wrong: Is the provider proactive in discovering issues and informing you of them, or do they try and pass blame. You need a hosting provider who will be honest so you can take the necessary actions if things go wrong.

CDN is an acronym for Content Delivery Network. This is a network of online storage locations around the globe that position your content closer to your viewers. A video hosted in the UK should be synchronized to a CDN location in South Africa so that visitors from Johannesburg can load the video quicker. If you dont have many visitors from Johannesburg, or from other regions, it is not always necessary to establish a CDN if most of your visitors are in a single region. In that case, simply selecting a hosting provider in that region is best the way to start.

A domain name is the text based identifier for your website or online service. Domain names are constructed of 2 primary parts separated by a full stop: The Domain Name and the Top Level Domain (TLD). The domain name for Seva Cloud is sevacloud.co.uk. ‘sevacloud’ is the text based identifier. ‘.co.uk’ is the top level domain (TLD). You can select a TLD based on your operating location(s). You can select to purchase a domain name with one or more TLDs. Each TLD is treated as a separate Domain Name, however, multiple domain names can be connected together by using redirections, for example, sevacloud.com could be redirected to sevacloud.co.uk and both would show the same website. You can therefore own multiple TLDs with the same Domain Name if you think this would be beneficial. You’ll also see https:// in your browser URL, this identifies that the website is protected via a security certificate (SSL) and that data sent between the users device and your website is encypted and protected from hackers. WWW stands for World Wide Web. Use in a domain name/url is required by default (e.g. www.sevacloud.co.uk) but its use across the internet is decreasing. Companies can display and use their domain name without the WWW prefix if DNS redirection is correctly configured. This also improves user experience as users do forget to type www prefix into a URL bar, this will ensure that both www.sevacloud.co.uk and sevacloud.co.uk direct users to the same website. Another part of a domain name is called a sub domain. This can replace the www. For example, if Seva Cloud wanted to release a new service, we may consider a sub domain such as hosting.sevacloud.co.uk. The word hosting in this case is the sub domain and identifies a separate part of the service or website. You can use sub domains for free rather than purchasing additional domains (you just need to ensure the SSL certificate is valid for all sub domains). SSL certificates provided by Seva Cloud cover all sub domains as standard.

Choosing a domain name takes some careful considerations and it must be globally unique. This is going to be how people identify and locate your brand or service on the web so you cannot take someone elses domain name that already exists. We would recommend you either use your brand/company name or something related to the service you offer. If using the latter, consider adding the location you provide the service in. For example, a company named Watkins & Watkins may choose their domain name to be watkinsandwatkins. Note that certain characters are not allowed in domain names. Next, if Watkins & Watkins operate in the UK, they would likely choose the .co.uk Top Level Domain (TLD). The complete domain name would be watkinsandwatkins.co.uk. Note that if there is a different Watkins & Watkins in the USA, they may already have watkinsandwatkins.com. Because the TLD is different, the UK based Watkins & Watkins will have a globally unique domain name. However, if Watkins & Watkins only provide plumbing services in Stocksbridge, they may wish to find something like plumbingservicesstocksbridge.co.uk. Neither is right or wrong, just make sure its relevant to you and your business and globally unique, you’ll want to keep this. To help with uniqueness, you can now select custom TLDs, for example, seva.cloud would be a valid domain name. You can also add more domains as required or consider using sub domains.

Yes, you can own as many domain names as you wish, as long as they are globally unique. If you want to maintain one primary domain, using sub domains can ensure that your customers are provided with a consistent and familiar text based message when visiting your sites.

HTTPS is an acronym for Hypertext Transfer Protocol Secure. It ensures that information sent between a users device and your website backend is encrypted and safe from hackers. In the past, HTTPS was only required on payment pages or contact forms, but now its a requirement on every website. You can operate a website without HTTPS, but the user is presented with a warning message about accessing an insecure site. This will disparage most visitors from proceeding to your site and result in a high bounce rate. HTTPS requires a valid SSL certificate.

SSL is an acronym for Secure Sockets Layer and is a certificate of authenticity for your website. This is the protocol used in the secure part of HTTPS to encrypt traffic between your web hosting and your customers devices and ensure hackers cannot read that data. All websites should be secured with an SSL certificate.

If you have an existing website, you can always migrate to a new hosting provider. The process involves taking a backup of the website files, media and database, configuring the new hosting provider to accept the incoming files, modifying your DNS records to point to the new provider. It is always worth keeping the old provider account active for a week to a month to ensure that everything goes smoothly. The website hosted with the old provider should remain unmodified as this is your ability to roll back should you find any issues and this is as simple as flipping the DNS back to the old host. Finally, close out your account with the old provider once everything is set up and you’re happy with the new site.

If a website is built with SEO in mind, the website is much easier to understand by humans and search engines and makes any future reoptimizations much easier. Often, Web Design and SEO are separate processes requiring very different skillsets as SEO can be very technical. But the technical parts do not perform if the basic foundations are not implemented correctly. Website design should incorporate these basic foundations, such as image optimization and appropriate word counts. Imagine a car without power steering. It’s very hard to drive (you’ll know if you’ve ever driven one). Then imagine having to install power steering into it. That would be very time consuming and costly. Since all cars now come with power steering as standard, it makes them much easier to drive. Websites, by comparison, that come with optimizations, make them much easier and quicker to load, understand and start ranking higher on the search engines. For example, pages that take more than 1 second to load have a much higher rate of visitors leaving the page immediately (know as the bounce rate).

SEO stands for Search Engine Optimization and is the process of optimizing or reoptimizing website content so that it matches a user’s search intent and is more relevant to a user’s search query, therefore appearing higher up a search engine results page (SERP).
